By the end of this guide, you'll have ChatGPT configured with your property context so that every conversation starts from the right place — it already knows your room count, your team size, and how you like things formatted. No more explaining the basics every time.
What you'll need
Go to chatgpt.com and click "Sign up." Use your email to create an account. The free plan (GPT-4o limited) is sufficient to start.
What you should see: A clean chat interface with a text box at the bottom labeled "Message ChatGPT."
If you have ChatGPT Plus:
In the first box, paste your context:
I'm a housekeeping supervisor at a [number]-room [hotel type] in [city/state]. I manage a team of [number] room attendants. We use [your PMS system, e.g., Opera / Mews / whatever]. Our peak days are [days]. I frequently need help with: writing maintenance work orders, incident reports, shift handovers, staff emails, training materials, and scheduling.
In the second box, set your preferences:
Keep responses short and practical. Use bullet points and numbered lists. Use plain, clear language — no jargon. When I'm writing something, give me a complete draft ready to use, not an outline. Format work orders and reports with clear headers.
Click Save.
What you should see: These instructions are now applied to every conversation you start.
Start a new conversation and paste this: "I inspected rooms today and found: Room 214 — toilet runs. Room 318 — lamp won't turn off. Room 420 — bathroom exhaust fan very loud. Room 512 — TV remote missing. Write these as maintenance work orders."
What you should see: Four formatted work orders with room numbers, descriptions, priority levels, and notes for the maintenance tech — because ChatGPT now knows your context and your preferred format.
Open your phone's Notes app and save your most-used prompts so you can copy-paste them quickly during a shift:
Saved prompt 1 — Work orders: "Write these as hotel maintenance work orders with Room Number, Issue, Priority, and Tech Notes: [paste your notes]"
Saved prompt 2 — Shift handover: "Format this as a hotel housekeeping shift handover: Rooms in progress: [list]. Open maintenance: [list]. VIPs: [list]. Complaints: [describe]. Low supplies: [list]."
Saved prompt 3 — Incident report: "Write a hotel incident report for housekeeping records: [describe what happened, when, who was involved, and resolution]."
What you should see: When you paste these prompts into ChatGPT with your specific details, you get ready-to-use documents in seconds.
Start each work day with a 3-minute ChatGPT session:
Troubleshooting: If ChatGPT's free tier shows "capacity" errors during busy times, try Claude (claude.ai) instead — it accepts the same prompts.
Morning briefing for staff: "Write a 3-minute morning briefing for hotel housekeeping staff. Today: [X] checkouts, [Y] stay-overs, occupancy tonight [%]. Priorities: [any VIPs, events, or extra tasks]. Also remind staff about: [any standard to reinforce]."
Staff coaching notes: "I need to address a performance issue with a room attendant. The issue is: [describe]. Write me talking points for a brief, supportive coaching conversation."
Email to GM: "Write a professional email to my general manager about: [describe the issue]. I want to: [state your goal — flag a problem, request resources, report a resolution]. Keep it direct and under 150 words."
Training guide for a task: "Write step-by-step instructions for a new room attendant on how to [specific task]. Keep language very simple — assume no prior hotel experience."
