Use Canva AI to Create Visual Room Standards for Your Team
What This Does
Canva's AI text tool (Magic Write) helps you create professional-looking printed training materials — like a visual room standards poster your team can refer to in the linen room — without any design experience.
Before You Start
- Create a free account at canva.com
- You know which room standard you want to document (e.g., bed making, bathroom setup, towel presentation)
- You're on a computer or tablet (Canva works on phones but is easier on a larger screen)
Steps
1. Open Canva and choose a template
Go to canva.com and click "Create a design." Search for "poster" or "flyer" in the template search. Choose a clean, simple template — look for ones with space for text and numbered lists. A standard 8.5" x 11" (letter size) poster is ideal for printing.
2. Find Magic Write
Click anywhere on the canvas where there's a text box. You'll see a small toolbar appear above the text area. Look for the star/sparkle icon labeled "Magic Write." Click it.
What you should see: A small text box appears asking what you want to write.
3. Ask Magic Write to generate your standards text
Type a brief description:
- "Step-by-step bed making instructions for hotel housekeeping. Use numbered steps. Simple language."
- "Hotel bathroom setup checklist — where to place towels, soap, shampoo, and toilet paper. Professional but simple."
- "Checklist for final room inspection before marking clean. 8-10 items."
4. Add the generated text to your design
Click "Use this text" to insert the generated content into your design. You can resize the text box, change the font size, or reposition it on the canvas.
What you should see: Professional-looking text in your template, ready to format.
5. Add a header and your property name
Click on the template's title area and change it to something like "Room Standard: Bed Making" or "Final Inspection Checklist — [Property Name]." Choose a bold font and make the header stand out.
6. Download and print
Click the "Share" button in the top right, then "Download." Choose "PDF Print" for the best quality. Print at full 8.5" x 11" size. Laminate if you want it to last in the linen room.
Troubleshooting: If Magic Write isn't available in your free account, you can write the text yourself (using ChatGPT as described in the Level 1 guides) and paste it into the Canva template — you'll still get a professional-looking result.
Real Example
Scenario: New room attendants keep placing towels incorrectly, leading to re-cleans. You want a visual reference poster for the linen room.
What you type in Magic Write: "Instructions for hotel bathroom towel presentation. Bath towels folded in thirds over the towel bar. Hand towel folded in half on the sink edge. Washcloth folded into a fan or roll on the sink. Numbered steps. Simple language for a new employee."
What you get: A numbered 5-step instruction list that you drop into your poster template, add a header ("Towel Presentation Standard"), and print.
Tips
- Make one poster per standard (bed making, bathroom setup, cart organization) — single-topic posters are easier to follow than crowded multi-topic sheets
- Use high contrast (dark text on light background) for readability in linen rooms
- Save your design — you can update it easily when standards change without rebuilding from scratch
