What you'll need
Before opening ChatGPT, write down the documents you need most. Common priorities for housekeeping:
Start with your top 3 — you can always add more later.
For each document, paste this template and fill in the brackets:
Create a [document type — e.g., "cleaning checklist" / "procedure guide" / "quick reference card"] for hotel housekeeping staff.
Topic: [specific topic — e.g., "standard queen room cleaning" / "bathroom setup" / "handling a guest complaint"]
Property details: [number]-room hotel, [mid-scale / full-service / budget].
Requirements:
- Numbered steps in logical order
- Simple English — some staff have limited English
- Include: [any specific standards you have — e.g., "hospital corners on beds, towels folded in thirds, 3 towels per room"]
- Format for printing on a single page (or two pages if needed)
- Add a space at the bottom for the date and supervisor signature
Make it practical — this is for a frontline worker, not a manager.
Read the output carefully. ChatGPT will produce a solid draft, but you'll need to:
If something is wrong, type: "Change step [X] to: [your correct procedure]." ChatGPT will revise.
What you should see: A clean, numbered document with a header, steps, and signature line.
Ask ChatGPT: "Format this as a clean document I can print. Add a title in bold, the date 'Effective: [date]', and a signature line at the bottom for supervisor review."
The output will look ready to print.
Select all the text from ChatGPT, copy it, and paste it into Microsoft Word or Google Docs. Adjust the margins (File > Page Setup > 0.75 inch margins) for more content per page. Print on cardstock if you're laminating.
Troubleshooting: If the formatting looks off when you paste it, click "Clear formatting" in Word/Docs, then re-apply bold headers manually. It takes 2 minutes.
Organize the printed documents into a binder with tabs:
Keep the binder in the linen room. New hires use it on their first day. Relief supervisors use it instead of calling you.
