What This Does

Google Sheets' built-in AI (Gemini) can analyze your occupancy forecast and staff availability, then help you figure out how many room attendants to schedule each day — and flag gaps before the week starts.

Before You Start

  • You have a Google account (free)
  • You have Google Sheets open (sheets.google.com)
  • You know your occupancy forecast for the week
  • You have a list of your staff and their typical availability

Steps

1. Open Google Sheets and create a new spreadsheet

Go to sheets.google.com and click the "+" button to start a blank sheet. Name it "Weekly Schedule [date]" using the cell at the top or the tab at the bottom.

2. Set up your data columns

In Row 1, create these column headers:

  • Column A: Staff Name
  • Column B: Mon
  • Column C: Tue
  • Column D: Wed
  • Column E: Thu
  • Column F: Fri
  • Column G: Sat
  • Column H: Sun
  • Column I: Notes (PTO, training, new hire, etc.)

Then add your staff names in Column A, one per row.

3. Enter your occupancy forecast somewhere visible

In a separate area (e.g., rows 15-16), add:

  • Row 15: Day labels (Mon through Sun)
  • Row 16: Occupancy percentages (e.g., 45%, 60%, 90%, 95%, 55%, 40%, 35%)

4. Open the Gemini AI sidebar

Click the star icon ("Ask Gemini") in the top-right corner of Google Sheets, or go to Extensions > Gemini in Sheets. If you don't see it, make sure you're signed in to a Google account and try refreshing.

5. Ask Gemini to help with scheduling

In the Gemini sidebar, type something like: "My hotel has [X] rooms. Occupancy this week is: Mon 45%, Tue 60%, Wed 90%, Thu 95%, Fri 55%, Sat 40%, Sun 35%. Each room attendant can clean 14-16 rooms per shift. How many room attendants do I need each day? I have [X] staff available."

What you should see: Gemini will calculate the recommended staffing level per day and show you which days need the most coverage.

6. Fill in the schedule based on the recommendations

Use Gemini's numbers as your guide. Enter available staff in the appropriate day columns. Mark unavailable days with "OFF" or "PTO."

Troubleshooting: If the Gemini sidebar won't open, try using it through Google Docs instead — type your staff list and occupancy data there, then ask the same question.

Real Example

Scenario: You have 12 staff, a 120-room hotel, and occupancy runs high on weekends.

What you type in Gemini: "120-room hotel. Occupancy: Mon 50%, Tue 55%, Wed 70%, Thu 75%, Fri 85%, Sat 95%, Sun 65%. Each attendant cleans 15 rooms per shift. How many staff do I need per day? I have 12 total."

What you get: "You'll need: Mon 4, Tue 5, Wed 6, Thu 6, Fri 7, Sat 8, Sun 5. You have adequate coverage Mon-Thu and Sun. Friday and Saturday may require overtime or split shifts unless all 12 staff are available."

Tips

  • Save this spreadsheet as a template and duplicate it each week — you only need to update the occupancy numbers
  • Add a row showing "Scheduled vs. Needed" to spot gaps at a glance
  • If Gemini isn't available in your Google Workspace version, paste your data into Google's free Gemini at gemini.google.com and ask the same question
